Data Protection & Confidentiality Policy
How the Academy collects, uses, stores, shares, and protects personal data, and the data-protection rights of the people whose information it holds.
The Cayman Islands National Coaching Academy treats the personal data of participants, coaches, parents, staff, and partners with care — holding it securely, using it only for clear and lawful purposes, and respecting every individual's data-protection rights. The policy applies to all personal data the Academy processes, whether on paper, electronically, or through digital and mobile platforms, and to everyone who handles data on the Academy's behalf. It is applied in accordance with the Data Protection Act of the Cayman Islands, overseen by the Office of the Ombudsman.
The Academy follows the data-protection principles set out in the Act, including fair and lawful processing, data minimisation, accuracy, storage limitation, and security. Key commitments include:
- Collecting only the data needed, for clearly defined purposes, and keeping it no longer than necessary
- Never selling personal data, and sharing it only where necessary and lawful under written agreements
- Applying appropriate technical and organisational security measures and least-privilege access
- Giving special care to children's data, with parent or guardian consent for under-18s
- Reporting serious breaches to the Office of the Ombudsman and affected individuals without undue delay
Individuals have rights to be informed, and to access, rectification, erasure, and restriction of processing. Requests can be made to the Academy's administration office, and complaints may also be raised with the Office of the Ombudsman. The policy is reviewed at least annually.
